Job Summary:

The Payroll Administrator is responsible for the accurate and timely preparation, processing, and reconciliation of payroll and associated charges in relation to payroll, benefits, tax, etc. This role serves as the critical link between payroll, HR, & accounting, ensuring payroll data integrity, proper general ledger mapping, accurate journal entries, and thorough payroll analysis.

Responsibilities:

  • Prepare and process biweekly (or applicable off-cycle) payroll for 200+ employees in ADP Workforce Now.
  • Ensure accurate setup and maintenance of earnings, deductions, taxes, and benefits.
  • Audit and review payroll data for accuracy including hours worked, pay rates, departments, and deductions.
  • Ensure compliance with federal, state, and local payroll regulations.
  • Prepare and review payroll-related journal entries in accordance with company accounting practices and policies.
  • Reconcile payroll reports to the general ledger and investigate discrepancies.
  • Partner with Finance & Accounting to support month-end and year-end close activities related to payroll and benefits.
  • Reconcile benefits for both employer and employees to ensure accurate deductions are maintained and collected.
  • Prepare detailed payroll analysis at each month-end close to ensure accuracy of journal entries and notate variances and material fluctuations to be reviewed.
  • Develop and maintain recurring payroll reports for leadership and Finance.
  • Identify opportunities to improve payroll accuracy, efficiency, and controls.
  • Serve as subject matter expert for payroll-related questions from HR & Finance.
  • Support audits by providing payroll documentation and reconciliations as needed.
  • Periodically assigned HR-related tasks, data entry, and projects.
  • Other duties as assigned.

Education and Experience:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  • 2+ Years of payroll process and payroll accounting experience.
  • Hand-on experience with ADP Workforce Now strongly preferred.
  • Advanced Excel skills (pivot tables, lookups, reconciliations).

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
